Overview:

Blueoak Estates is an award-winning developer, creating bespoke homes across the North West of England. We’re a passionate, talented and enthusiastic team, looking for an experienced Office Administrator to join us. 

The successful candidate will:

Hold prior administrative experience, having previously worked within a busy team environment.

Possess excellent communication skills both face-to-face and over the phone.

Have excellent numeracy and literacy skills along with a high level of attention to detail.

Possess very strong IT skills including Microsoft Word, Excel, Outlook, PowerPoint, and Teams. Experience of using InDesign and Photoshop software is advantageous.

Possess a good understanding of current data privacy standards. 

Job Description/Duties: 

Meet and greet visitors, maintaining a polite and professional communication.

Handling office tasks, such as filing, generating reports and presentations and setting up ahead of meetings.

Attending to the requests of the Managing Directors.  

Screening phone calls and distributing callers to the appropriate person and taking messages.

Minute taking at Technical Review meetings and Board meetings. 

Helping produce monthly board papers.

Assisting with the hospitality of board meetings. 

Assisting with customers’ questions, requirements and queries.

Working with Site Managers, relaying snagging requirements, status, client feedback etc. 

Uploading snagging information into Clixifix, checking their status and marking as complete. 

Working with local Estate Agents to assist with the successful marketing of sites.

The creation and processing of paperwork surrounding the sale of a new property.

Working with property management companies providing information and support when required.

Managing the board room booking calendar 

Liaising with solicitors and buyers in relation to helping progress the speed of property exchanges and completions

Creation of site specific pricing schedules and specification lists

Ordering stationary and other online purchasing for office goods

Working closely with the Sales and Marketing Manager 

Recording of property water, gas and electric meter readings

Management of team holidays, cover, diaries etc

Printing, binding, photocopying and scanning

Helping office staff with computer and printing issues 

Key management for various site properties

Assisting with the planning of Blueoak Estates Property Open Events
